ClinicBox
Design-partner batch For private practice
On-prem AI scribe for therapists

Your notes — without sending audio to any cloud.

ClinicBox is a small appliance you plug into your office network. It drafts SOAP, DAP, BIRP, and EMDR notes in under a minute — and your session audio never leaves the room.

No credit card. Just an email to hold your spot in the first shipment.

Built for US private-practice mental health clinicians — LPC, LCSW, LMFT, PsyD — who refuse to send session audio to any cloud.

Batch 00Design-partner phase — first units shipping now to a small group of named clinicians.

Two truths

You've been holding both of these at once.

Documentation is eating your week.

Most outpatient therapists spend 10 to 14 hours per week on progress notes — the single largest contributor to burnout in behavioral health (Psychiatric Services, 2023). Sundays are charting Sundays.

Cloud AI scribes ask you to trust someone you can't audit.

Every vendor in the category — Upheal, Mentalyc, Blueprint, Heidi — runs your patient's session audio through their cloud. Their BAA is paper. Their SOC 2 audits their promises. Neither is an audit of your therapy session. And every quarter another vendor quietly rewrites a ToS.

You've already had the conversation in your head. What happens if their model trains on my client's voice? What do I tell a patient who asks where the recording goes? What does my next HIPAA risk assessment look like? Meanwhile your Sundays still belong to charting, and the next OCR enforcement headline is one news cycle from being in your state.

How the box works

The AI lives in your office. Nothing else does.

The entire AI model — a clinically-tuned open-weight LLM (Llama 3.1 / Qwen 2.5 class) — runs on the box. Session audio goes in. The note comes out. Nothing in between ever touches a cloud.

You own the hardware. You control the only network port. Unplug the ethernet mid-session and the note keeps generating. That's not a promise about a vendor. That's the architecture.

What changes

Five things that quietly improve when the AI lives in your office.

Five scenarios from real practice

Your data never leaves the box.

Session audio, transcripts, and notes never traverse your LAN. No cloud vendor in the loop — by architecture, not by promise.

SOAP, DAP, BIRP, EMDR from day one.

Notes drafted by a model tuned on therapy-session patterns, not general medicine. Designed for fewer edits and better fidelity.

Setup is power and ethernet.

No port forwarding. No IT department. Plug it in, open clinicbox.local on the laptop you already use, and run your first session through it the same week.

The box keeps working even if we don't.

Model weights live on your hardware. Binaries are signed and on-device. You bought a tool, not a subscription to your own data.

An honest answer for your intake form.

“This office uses on-prem AI. No patient audio ever leaves this building.” One sentence. Defensible. Yours. A trust line that turns your tech stack into a client-trust asset instead of a disclosure obligation.

How it works

Three steps. Designed to set up in thirty minutes.

Running by your next session
i.
Reserve

Hold your spot.

Leave us your email and reserve a box in the next shipment. We ship in the order requests arrive.

ii.
Install

Plug in power and ethernet.

When the box arrives, plug power and ethernet into the wall. Open clinicbox.local on the laptop you already use.

iii.
Operate

Record a session.

Use the paired desk mic or import a recording. The note is designed to be ready in under a minute. Copy or PDF-export to your EHR.

Versus your current cloud scribe

Same problem. Different architecture.

If you already pay $40–90 a month for Upheal, Mentalyc, Blueprint, or similar, here is the honest side-by-side. Both can save you hours. Only one keeps your audio in the room.

3-year cost (indicative)3-year cost (indicative)

~$2,800 in subscriptions, plus price-hike risk year over year.

$1,500 one-time hardware + ~$1,200/yr software. Comparable order of magnitude. Hardware is yours.

What you own after 3 yearsWhat you own after 3 years

Nothing. Stop paying, and the access ends.

The appliance, the model weights, and three years of refined templates.

Pricing is indicative and may change before general availability. The 3-year subscription figure assumes a $59/mo cloud scribe held flat — actual market pricing has been rising. We will publish the full evaluation methodology against named cloud competitors once design-partner testing is complete.

We will not invent quotes.

Batch 00 · In rotation

ClinicBox is currently in design-partner phase.

Real testimonials from named PsyD and LCSW partners will appear here once their first cycle of use is complete — with their specific time-saved-per-week figures and what they told their patients about the box.

Until then, this space stays empty. The architecture is the proof.

Questions every therapist asks us

The honest answers.

Including the ones about hallucinations and what happens if we shut down.

Why hardware? I already pay $59/mo for Upheal or Mentalyc.
Upheal's SOC 2 audit verifies their promises about how they handle audio. ClinicBox makes the audit unnecessary by architecture — there is no vendor process to audit because there is no vendor in the loop. Over 3 years your total cost is comparable: you replace roughly $2,800 of cloud subscription with an Expected $1,500 hardware + Expected $1,200/yr software. Pricing is indicative and may change before general availability.
What if your company shuts down?
The model weights are on your box. The binaries are signed and on-device. We will publish our update-signing keys before general availability. Your box keeps drafting notes regardless of what happens to us.
How do I get notes into SimplePractice or TherapyNotes?
One-click copy or PDF export at launch. Deeper SimplePractice and TherapyNotes integrations are on the roadmap, targeted for the quarter after general availability. If you require a deep EHR integration today, ClinicBox is not the right fit yet — we'll tell you that on a call.
Is the box HIPAA compliant?
“HIPAA compliant” is not a certification — it is a set of practices, and the practice owner is the covered entity. ClinicBox is designed so you stay the only party with access to PHI; there is no business associate involved in the AI step. We publish our threat model and provide attestation language for your annual risk assessment.
Does the AI hallucinate?
Yes — every clinical AI does, and ClinicBox is no exception. We design for clinician-in-the-loop review on every note. We will publish our evaluation methodology and show side-by-side accuracy on real (de-identified) audio against the major cloud scribes once design-partner testing is complete.
When can I get one?
We are shipping the first batch to design partners now. Joining the waitlist holds your spot in the next general shipment — you'll get a date estimate by email once we confirm the next batch size.

Hold a spot in the next shipment.

We ship in the order requests arrive. We'll only email you about ClinicBox. We will never train any model on your reservation data.

If you change your mind before we ship, your email gets deleted on request — no recovery, no archive.
